前臺是一個單位的臉面和名片。所以，前臺工作的專業(yè)、規(guī)范與適度與否，對塑造單位形象有著非常重要的作用。前臺的接待，分為電話接待和來訪者接待。
1、電話接待 前臺接起電話的聲音要不急不慢，并終保持輕松、愉悅的聲調(diào)，不得在電話中和來電者耍脾氣、使性子甚至說粗口。接電話中，要勤說“請問”、“對不起”、“請稍等”之類的謙詞。在電話鈴響的第二、第三聲的時候接起電話。接起電話首先要說“您好，×××（公司名稱，如果公司名稱較長，應(yīng)用簡稱）”，忌以“喂”開頭。如果因故遲接，要向來電者說“對不起，讓您久等了”。對知道分機(jī)號碼或者轉(zhuǎn)向具體人姓名的電話，可以禮貌地說“請稍等”，并馬上轉(zhuǎn)接過去。如果要求轉(zhuǎn)接領(lǐng)導(dǎo)電話、對方又知道領(lǐng)導(dǎo)姓名，不知道分機(jī)號的話，就要禮貌地詢問，對方是誰、哪個單位的。如果是如廣告、變相廣告之類的電話，應(yīng)該用禮貌的借口擋駕，或者轉(zhuǎn)到相關(guān)部門處理。鑒于前臺每天要接很多電話，為防止嗓子出現(xiàn)意外，要隨時準(zhǔn)備水，以滋潤嗓子，隨時保持良好的聲音效果。
2、來訪者接待 前臺在崗位上一般是坐著的。但遇到有訪客來時，應(yīng)立即起身，面朝向來訪者點(diǎn)頭、微笑致意：“您好，請問您找一位？”、“有預(yù)約嗎”。知道找誰，并確認(rèn)是預(yù)約之后，請來訪者稍等，立即幫其聯(lián)系。如果要找的人正在忙，可以請其稍等，用規(guī)范的儀態(tài)引領(lǐng)來訪者入座倒水。如果等了很長時間，訪客要找的人還在忙，要關(guān)照一下來訪者并說向其說明，不要扔在那里不管。
如果來訪者要找的沒有出來接，讓其自己過去，前臺應(yīng)該用規(guī)范的手勢指引如何去，或者帶來訪者去。如果來訪者要找的人的辦公室門即使是開著的，也要先敲門，獲得許可后再請來訪者進(jìn)入，為來訪者倒好茶后，前臺就要返回崗位。當(dāng)然，如果前臺只有一位的話，直接指引來訪者就行了。
如果來訪者知道找誰，但沒有預(yù)約，前臺要打電話問問，告訴相關(guān)同事或領(lǐng)導(dǎo)助理/秘書，×××單位的×××來訪，不知道是不是方便接待。出于對來訪者的禮貌和方便拒絕時的得體處理，即使是要找的同事或者領(lǐng)導(dǎo)親自接，都可以當(dāng)作是其他人接的電話，再詢問。這樣在來訪者聽來，即使電話那頭沒有答應(yīng)接待，也不是他要找的人直接拒絕的，為一下步的處理留下了余地。
